RESOURCE / PUBLIC SOURCE RECORD
Terms and conditions for Norway Pavilions
- Page describes standard terms for participation in Norwegian joint exhibition stands organised by Innovation Norway.
- Participation: exhibitors require Innovation Norway’s acceptance; subletting is prohibited. Eligible participants generally need sufficient ties to Norway, as determined by Innovation Norway. Sub-exhibitors require written agreement.
- Selection and registration: Innovation Norway may prioritise applicants and allocate space when capacity is limited; registration is binding only after written acceptance. Late registration may incur extra costs.
- Fees: participation fee and payment deadlines are set through registration/invoice; the page describes a usual package covering floor-space rental, stand construction/dismantling, common areas, basic furnishing/signage and project management. Minimum floor area is normally 9 m² unless otherwise agreed.
- Cancellation: exhibitor withdrawal generally does not remove fee liability; refunds may be possible if a replacement exhibitor can be arranged, less change costs. Innovation Norway can cancel for insufficient participation or reasonable grounds; paid fees are refunded, without compensation for exhibitors’ other expenses.
- Operations and responsibility: exhibitors must follow stand/safety instructions, staff stands during fair hours, arrange insurance, and cover transport, setup and damage costs. The terms include force majeure, personal-data, ethics/social-responsibility, survey and governing-law provisions. Norwegian law applies; Norwegian text prevails over English in case of conflict.
Additional captured detail 1
- Standard terms cover participation in Norwegian joint exhibition stands at trade fairs organised by Innovation Norway (IN). IN approves exhibitors. Unless an invitation or written agreement says otherwise, participants must be producers with sufficient Norwegian ties or bodies representing such producers; IN decides whether ties qualify. Space cannot be sublet. Subsidiaries, importers, agents and partners may participate as sub-exhibitors with written approval; IN determines their access, and they generally handle their own practical arrangements and costs.
- If space is limited, IN decides who may participate, the amount and location of space, and may prioritise exporters over associations/organisations unless registration terms say otherwise. Past participation gives no priority.
- Registration on the site is binding only after written acceptance. IN may refuse applicants for reasonable reasons, including poor credit or outstanding debts to IN. Late registration may incur added costs. Withdrawing or not attending does not remove payment obligations. If a replacement exhibitor can be practically accepted, fees may be refunded less costs of changing exhibitors; IN need not find a replacement.
- IN may cancel for low registration or other reasonable grounds. If IN cancels the joint stand, paid registration fees are refunded, but exhibitor expenses or extra work are not compensated.
- Fees are payable per invoice. IN may adjust listed prices for currency changes or unforeseen expenses, request advance payment, and invoice final costs once known. Failure to pay may forfeit participation and allow IN to reallocate space. Fees are based on allocated floor area, generally with a 9 m² minimum. During planning IN may reasonably adjust assigned areas to use total space efficiently, with final fees based on adjusted area.
- The standard package normally covers floor-space rent, stand construction/dismantling, shared areas and their decoration/exterior Norwegian-stand signage, carpet/floor, general lighting, basic furnishings and possible shared company-name signage, operation of common areas and project management. Extra decoration/equipment/additions require IN approval and are at the exhibitor’s cost; additional services may be invoiced separately.
- IN designs the shared stand for a coherent overall result and makes final decisions while considering exhibitor products and preferences. Exhibitors/sub-exhibitors must follow IN and contractor instructions, notify IN of products in advance, obtain approval for exhibits/decor, get written approval for their own stand-design supplier, meet deadlines and pay costs caused by late materials/changes. Exhibitors must have products and displays ready by the required time and follow safety rules issued by IN, fair organisers, police, fire services or other authorities.
- Exhibitors pay for shipping, freight, assembly and packing of their goods/materials. They must remove their own items after the fair; abandoned items may be disposed of/destroyed, with cleanup costs charged to the exhibitor. Stands must be staffed during opening hours unless IN agrees otherwise in writing.
- Each exhibitor pays for damage or injury caused by itself, staff or products and must insure personnel, goods and transport. IN disclaims responsibility for theft or injury/damage at the fair. Discrimination, harassment and improper conduct are prohibited; breaches may lead to exclusion, criminal liability or damages liability.
- For force majeure, changes/cancellation by the fair organiser, or other listed impediments, IN disclaims liability. If the fair does not occur for these reasons, exhibitors may owe the portion of the fee matching IN’s costs already incurred. Disruptions to utilities/telecommunications outside IN’s control do not entitle exhibitors to compensation or refunds; IN also disclaims responsibility if the fair fails to attract visitors.
- IN’s privacy declaration applies to personal-data handling. Exhibitors must inform staff attending the joint stand about IN’s processing. Parties commit to responsible business conduct, including avoiding corruption, human-rights abuses, poor working conditions and harm to communities/environment; either party may terminate immediately for breach. Norwegian text prevails if translations conflict. Exhibitors may be asked to complete surveys. Norwegian law applies; unresolved disputes go to Norwegian courts at IN’s domicile.
